We are seeking a reliable and proactive Part-Time Office Manager to serve as the heartbeat of our Helsinki office. Initially required for one day per week, you will be the "on-the-ground" presence ensuring our workspace is professional, welcoming, and seamless. This role is ideal for a self-starter who takes immense pride in creating an organized environment where people can do their best work. You will be a trusted partner to our People team, acting as the primary point of contact for local operations and playing a pivotal role in bringing our office culture to life.
Key Responsibilities in the Role Office Operations & Logistics: You will own the day-to-day rhythm of the Helsinki office. This includes the essential "open and close" procedures, managing post and deliveries, and acting as the primary liaison for building management and external suppliers (cleaners, maintenance, etc.). You'll ensure the space is always "investor-ready"-clean, tidy, and fully stocked with snacks and supplies.
People & Culture Support: As the face of the office, you will welcome visitors and lead the local onboarding experience. From setting up desks to giving office tours, you ensure every new starter feels at home. You will also get creative by organizing local team events that foster an innovative, engaging, and inclusive culture.
Administration & Coordination: You will manage the vital "behind-the-scenes" details, including keeping basic documentation and inventories up to date. You will assist with travel and accommodation for visiting colleagues and partner with the Finance team to manage local invoicing and expenses.
Ad Hoc People Projects: Supporting the wider People team, you will be the go-to resource for local requests, ensuring that global initiatives are executed smoothly within the Helsinki hub.
