Administration Associate

Permanent role:

Responsibilities

  • Responsibilities include, however not limited to:
  • Stakeholder management
  • Set priorities with advanced organisational and judgement skills
  • Provide administrative and operational support to the General Manager and Senior Leadership Team (SLT) as guided by Senior Associate Administrative Services, while maintaining discretion and confidentiality
  • Deliver accurate, timely information aligned to policies and procedures
  • Collaborate effectively with internal and external stakeholders at all levels
  • Ensure compliance with SOPs, policies, legal hold and or company’s ethical standards
  • Privacy Coordinator
  • Support the Animal Health Commercial division as Privacy Steward Coordinator
  • Cascade Global and Regional compliance communications, maintain policy, training and audit repositories, and notify the SLT of compliance concerns
  • Meetings management
  • Arrange travel and logistics for external customers at local and international meetings
  • Provide internal meeting support including arranging and attending meetings, conferences and functions, and managing travel and accommodation
  • Team engagement
  • Support and mentor peers
  • Participate in cross functional teams
  • Provide leave cover and act as back up for Senior Associate Administrative Services
  • General administration Assist with Commercial administrative activities including
  • Assisting with contract management, including Adobe Sign routing
  • Purchase and meeting expense card reconciliations
  • General administrative tasks, including but not limited to maintaining SharePoint and identified internal platforms, co-ordinating business cards and raising purchase orders and processing invoices
  • Maintaining the induction process and delivering induction training for office and field staff
  • Supporting meeting management such as the National Business Meeting and team meetings
  • Maintaining legally approved agreement templates and checklists, liaising with legal and procurement teams as required, adhering to compliance guidelines
  • Maintaining the register and stock of phones and tablets for team use
  • Acting as a point of contact for administration guidance, team communications and taking a lead role in key administrative initiatives as required
  • What You Must have
  • Tertiary qualifications
  • Prior proven administrative and corporate environment experience
  • Experience supporting directors, managers and multiple stakeholders, with the ability to work effectively at all organisational levels and within high performing teams
  • Curious, with the willingness to question, find new ways of working and confidence to speak up
  • Effective cross functional teamwork capabilities and excellent collaboration skills
  • High attention to detail, coordination and organisation with excellent time management with ability to manage competing priorities
  • Confident using technology and standard office and communication equipment in an activity-based workplace, with intermediate to advanced skills in Word, PowerPoint, Excel and Outlook; experience with SAP and managing programme platforms
  • Drive and motivation to meet and exceed individual and team goals
  • Unquestionable ethics and integrity
  • Excellent verbal, written and presentation skills in English
