Responsibilities

  • Physical mail management: Monitor physical mail received, ensure proper assignment to the relevant teams, and follow up on unaddressed items to ensure timely action.
  • Invoice processing: Manage incoming invoices by coordinating reviews and processing them in Coupa. Address and resolve any payment-related issues in collaboration with relevant teams.
  • Vendor onboarding support: Assist through the onboarding process on Remote’s platform, ensuring all necessary information is submitted and aligned with internal procedures.
  • Signatures, notarisations, and document couriering: Coordinate signature requests and notarisations, and manage courier dispatch and tracking to ensure timely handling of documents.
  • Monthly headcount tracker update: Review headcount data by country on a monthly basis, update the internal database accordingly, and share a summary of changes and key updates with the team.
  • Documentation and folder management: Organise and maintain Google Drive folders used across the team, and ensure consistency is maintained across internal documentation, including International Operations country cards, by aligning with team members to keep process documentation standardised across countries.
  • Process improvement: Identify inefficiencies or inconsistencies in existing workflows and collaborate with team members to improve processes and increase productivity.
  • Stakeholder collaboration: Communicate clearly and promptly with internal stakeholders and external partners to ensure all administrative tasks are completed accurately and on time.

The actual base pay for the successful candidate in this role is dependent upon many factors such as location, transferable or job-related skills, work experience, relevant training, business needs, and market demands. The base salary range may be subject to change.

  • The annual salary range for this full-time position is
  • $70,000—$80,000 USD

What this job can offer you An opportunity to play a key role in the operational backbone of a dynamic, global International Operations team. You’ll work across a variety of administrative and coordination tasks that support international workflows, streamline processes, and ensure smooth day-to-day functioning across jurisdictions. This role will report to the Business Administrator but will support International Operations and work closely with the IO team. What you bring Exceptional Organisational, communication, and prioritisation skills: Ability to manage multiple tasks, communicate clearly across teams, and effectively prioritise workload in a fast-paced environment, these are the most critical skills for success in this role. Proactive and self-motivated: Takes initiative, anticipates needs, and follows through with minimal supervision. Demonstrates a strong sense of ownership and accountability. Adaptable and collaborative: Thrives in a dynamic, remote-first environment. Works well both independently and as part of a cross-functional team. Tech-Savvy and systems-oriented: Very comfortable using digital tools to stay organized and efficient. Experienced in using automations for repetitive tasks. Proactive in leveraging AI tools to build automations. Proficient in Google Workspace, Notion, Slack, and Coupa. Fluent in English: Strong written and verbal communication skills in English are essential. Process-oriented mindset: Able to follow, improve, and document operational processes, with a focus on efficiency and scalability.
