We are seeking an

Executive Assistant (m/f/d)

supporting the Head of Financial Lines EMEA and the Head of Casualty EMEA, based in Munich

The Executive Assistant will:

Comprehensive calendar and time management for both managers, including scheduling, prioritizing meetings, and ensuring alignment with strategic priorities.

Organization of internal and external meetings across multiple time zones, including preparation of agendas, meeting notes, and follow-up documentation.

Coordination of travel arrangements (flights, accommodations, transfers, and itineraries) in compliance with company policies and cost efficiency guidelines.

Logistical planning and support for quarterly leadership meetings, team gatherings, and offsite events within EMEA.

Preparation and consolidation of presentation materials (PowerPoint, Word, Excel) for senior management and regional reporting.

Acting as a single coordination point with internal support functions (HR, Finance, Communications, etc.) to maintain smooth regional operations.

What you’ll need to succeed

Proven experience as an Executive Assistant, including confidence in and experience of dealing with senior management and external stakeholders

A team player who is willing to engage with the team, help with other administrative duties and support within other areas as requested

Proficiency in Microsoft Office, including a good level of Excel, PowerPoint and Word

Will have the ability to learn new skills quickly and use own initiative

Highly organised individual with first rate secretarial skills

A high level of attention to detail is a must

A focus on producing accurate, high quality work

Ability to respond to conflicting demands which may be on an urgent and ad-hoc basis, and prioritise workload appropriately

Confidentiality and integrity is paramount

Must be able to take a flexible approach to completing work tasks

Fluent in German and English, both verbally as well as in writing
